Navigator Partners with STERIS Corporation for SAP SuccessFactors Implementation

Navigator was selected to partner with STERIS Corporation, a $2.4 billion international healthcare and manufacturing company, to deliver program management, business analysis and organizational change management (OCM) support to 1) deploy SAP’s SuccessFactors to 14,000 employees in 30 countries, operating in 13+ languages; 2) deploy BenefitsFocus to the entire U.S. population; and 3) transition one legal entity to ADP payroll and two new timekeeping solutions. 

Business Challenge

STERIS Corporation faced several challenges for the global, integrated HCM solution, including a diverse and dispersed workforce ranging from professional services to unskilled hourly labor, working in different languages using disparate systems and processes; data management and inconsistencies; lack of standardized processes, policies and expectations across business lines; phased timelines for module development, and staggered rollout schedules for three legal entities and 30 countries. This complex, cross-functional project required coordination across Information Technology, Human Resources, Finance, Benefits, Global Learning and global organizational units, each consisting of multiple legal entities that operate independently with country-specific internal and external stakeholders. 

How Navigator Helped

Navigator Management Partners was retained to lead the Project Management, Business Analysis, and Organizational Change Management efforts for this project transformation. Navigator Project Management experts partnered with STERIS program leadership to establish the project charter, convene and prepare the Executive Steering Committee, and develop and manage the fluid project plan. This included integration activities with two different SAP certified system implementers, one configuring SAP’s SuccessFactors modules, and the other configuring the integration from SuccessFactors to BenefitFocus. Additionally, the Navigator Project Manager partnered with STERIS program leadership to report status, manage risk, escalate issues, and problem solve functional and technical challenges during all the project phases.

Navigator’s Business Analysts partnered with module leads to document current state processes for the entire talent employment lifecycle, and facilitated the capture of global differences and localization considerations. The Business Analysts worked with the module leads to define and document future state business processes and SuccessFactors configuration requirements. The Business Analysts assumed a functional role, serving as an extension of STERIS' Subject Matter Experts, to ensure design and configuration work was completed, capturing and monitoring risk, creating test plans and scripts and capturing test results across multiple testing phases.  Additionally, the Business Analysts worked closely with system implementer resources to design, develop and test customized functionality for Paid Time Off, Payroll, and Benefits integrations.

Navigator’s Change Management expert developed a comprehensive change management plan based on a thorough stakeholder analysis designed to increase the likelihood of end-user adoption and minimize disruption to operations. The Navigator Organizational Change Management (OCM) Lead led a team of cross-functional OCM support staff to conduct an organizational readiness and impact assessment and design the Organizational Change, Communications, and Training strategies. The OCM Lead outlined the work plan and work breakdown structure, monitored the project plan, and estimated level of effort for resource planning. Additionally, the OCM Lead led a team to design and develop communication, engagement and training plans and tactics (emails, FAQs, job aids, on-screen guided learning, videos, briefings, and demonstrations) by module and audience (HR, Business Leaders, Change Agents, Managers, and Employees) for HR, IT Service Desk, Manager and Employees.

Benefits and Results

Although the project is still in progress, the first phase implementation has been completed. This included the launch of Employee Central (including Employee self-service), Paid Time Off, Learning Management System, data migration for 75% of the workforce, and U.S. Benefits conversion to BenefitFocus allowing 2017 open enrollment to be conducted in the new solution. One legal entity was converted to ADP Payroll and Kronos timekeeping, and 75% of the remaining Kronos timekeeping transitions were completed. The login report for the first 30 days demonstrated that 45% of the targeted workforce had logged on once, with approximately 35% logging on and completing multiple actions. Additionally, analytics from a guided learning and engagement tool demonstrated that 80% of employees logging on had completed defined onboarding tasks, and 93% had engaged with the system more than once. Upcoming module rollouts include Recruiting and Onboarding, Goals and Performance Management, Compensation and Succession Planning.
